Navigating the Conference - the useful things to know

Dear all,

Only less than two weeks left until the 16th International AIDS Conference! I hope you all are exciting about it as I am. wink

I think that most of you are new to the International AIDS Conference. But, believe me, most people are new to the conference of that many people! But there’s no need to worry that you will be lost and overwhelmed! Because we are here to help you prepare to master this conference, get the most out of it, while having fun and survive at the same time. I will try to post some tips for you in this discussion board until the conference. Hope you will find it useful.

Have you taken a look at the conference program? (http://www.aids2006.org/PAG/ProgrammeAtAGlance.aspx) It’s good to understand the different parts of the conference. But, seriously, who would know the difference between plenaries, oral sessions, and satellite sessions?

Plenary session aims to tackle the ‘key challenges’ identified(http://www.aids2006.org/subpage.aspx?pageId=279), and the presentations will talk about the important issues, trends, and policies related to those challenge. Everyone can and should try to attend these plenary sessions, because it will also be a good place to get an overview of the issue, and the presentations are often not too heavily scientific or technical. Each session will compose of 3-4 speakers, who are well known in their fields.

So you can right away write down in your conference timetable that the plenary will happen between 8:45-10:15 am, Monday-Thursday. That is the easy one since there’s no other activity going on during the time of the plenary. But for other time slots, there are tons of activities and session for you to choose from, so a lot harder to decide what to do. stick out tongue

Many of the sessions in the morning and afternoons are the abstract driven sessions, which can take many forms. One of these is the oral session. It is a session that is composed of several people who sent in their abstracts in related/similar topics. A number of speakers will make a 10 minutes presentation on their work, and there will be discussions afterward. There are varieties of speakers (often a mix of them in one session), for example researchers, people who work for NGOs, youth, government people etc. You can choose the topic that you are interested in to attend.

Another type of interesting sessions are the “Learning from practice” and the “Controversy and Common ground” sessions. The Learning from practice intends to share the good practices in policy and programs across different context. If you want to learn what other countries or organizations are doing on certain topics, you can go to these. The Controversy and common ground, on the other hand, will generate exchanges of ideas on the topic that are controversies such as HIV testing, sexual rights, religion, and gender equity. “These sessions will aim for deeper understanding of contentious issues, the discovery of common ground, and strategies for moving forward.” Should be very interesting discussions! big grin

Dear all,

Sorry for not updating this for so long. I’m been traveling quite a bit before going to Toronto. But now let’s get back to preparing for the conference.

Last time I gave your some explanation about sessions that will be going on at the conference, which seems to be quite a lot. You might be wondering how you can keep up with everything. It is highly likely that there are two or more sessions that you want to go to at the same time. Well, the thing is that it may not be possible to go to every event or session. But there are a few ways that you can catch up.

• Conference newspaper – Pick up a copy of this daily conference newspaper to get an overview of the sessions and interesting issues that came up on the previous day.
• Webcast – During the conference or after you go back home, you can watch some session through online coverage at www.kaisernetwork.org
• Rapporteur Report – On Friday the 18th at 9-11 am, there will be a rappateur session which will present a summary of each thematic track.
• If you have a friend who is planning to attend a session that you are not, you can ask him/her to brief you about it later.

Beside the sessions, you should also set time for walking around the Global village, Exhibition area, and poster presentation. This will give you a break from sitting in the sessions and walk around and talk to people. There will be many interesting activities in the global village. You will get a lot of useful publication and resources from the exhibition booths (including nice pens and other souvenirs from the pharmaceutical companies’ booths!) Here are some describtion of these spaces from this website.

o The Global Village programme will engage leaders, speakers, and participants from a broad range of community interests, especially traditionally marginalized populations, including but not limited to the following communities and groups. The resources and tools of the Global Village programme will engage the participation of these groups and provide support to bring their participation into the Global Village and the Conference for example, Women, Aboriginal/Indigenous populations, Men who have sex with men, Gay/lesbian/bisexual/transgendered, Youth, Children, Prisoners, Drug users, Sex workers, Mobile/migrant populations, Endemic populations in developing/developed countries, Faith-based organizations and individuals.

o Exhibition - More than 140 organizations will be represented, reaching the more than 22,000 delegates expected. Delegates will include researchers, scientists, doctors and other health care providers, political and grass-roots leaders and people living with HIV/AIDS. A large and diverse exhibition space will host booths featuring large multilateral organizations, pharmaceutical and diagnostic companies and not-for-profit NGOs, providing a unique opportunity for organizations to interact with delegates from around the world.

o Poster exhibition - The peer-review teams also select some abstracts for presentation in a large poster format. The poster exhibition will cover a wide variety of topics also organised by the five scientific programme tracks. A different group of posters will be displayed each day, Monday to Thursday, from 10:30 to 18:00. Presenters will be at their posters between 12:30-14:00 to answer questions and provide further information on their study results.

Also please note that when planning your schedule, do not forget to set aside some eating and resting time. There will be breaks during the day, including half an hour lunch time. It is very important to you look after yourself and stay healthy throughout the conference. So you need to pace yourself. If you just arrived in Toronto after a long flight, may be you will need to take some more rest time during the first day.
